Administrative Profession Partnership Strategic Business Partner May 20, 2025

As executive assistants, effective communication is vital to our success in supporting our executives and maintaining productive relationships. While verbal communication is important, let’s not underestimate the power of non-verbal cues.

Recognizing and interpreting body language can provide valuable insights into our executives’ thoughts, emotions, and intentions. Here are tips to help you become proficient in reading body language as an executive assistant:

1️⃣ Facial Expressions: Pay attention to smiles, frowns, raised eyebrows, or narrowed eyes. These subtle cues reveal true feelings and indicate engagement, satisfaction, or concern.

2️⃣ Body Posture and Movements: Observe how your executive carries themselves. A relaxed and open posture signals comfort and confidence, while a closed-off or tense posture suggests discomfort or defensiveness. Body movements can also reflect underlying emotions or attitudes.

3️⃣ Hand and Arm Gestures: Notice gestures like open palms (indicating openness), pointing (emphasizing a point), or crossed arms (possible defensiveness). These provide insights into your executive’s mindset and attitude.

4️⃣ Eye Contact: Sustained eye contact demonstrates attentiveness and interest, while avoiding eye contact might signal discomfort, distraction, or disinterest. Consider cultural variations.

5️⃣ Leg Positions and Foot Movements: Crossed legs or tapping feet may indicate restlessness or impatience, while uncrossed legs and still feet generally indicate attentiveness and receptiveness.

6️⃣ Vocal Cues: Changes in tone, volume, or speech patterns convey emotions, enthusiasm, or urgency. Pay attention to calmness, rapidity, or shakiness of voice.

7️⃣ Microexpressions: Train yourself to catch quick expressions of happiness, surprise, anger, or sadness. They offer insights into your executive’s true emotions.

8️⃣ Cultural Differences: Remember that body language cues can vary across cultures. Educate yourself on cultural nuances to ensure effective communication.

9️⃣ Contextualize Body Language: Interpret body language considering the situation, relationship dynamics, and environmental cues.

Mastering body language enhances your ability to support and collaborate with executives. Paying attention to non-verbal cues helps you understand their needs, anticipate challenges, and adjust your approach. Practice observation and active listening to become proficient in recognizing body language. It’s a valuable skill that will elevate your executive support and foster stronger relationships.
